Topics Covered

1. Importance of Workplace Communication

Workplace communication involves exchanging information clearly, accurately, and respectfully to coordinate activities and achieve operational goals.

In logistics and supply chain operations, effective communication helps teams:

  • Coordinate orders and deliveries.

  • Confirm supplier commitments.

  • Share warehouse and inventory updates.

  • Resolve transportation delays.

  • Inform customers about shipment status.

  • Reduce misunderstandings and operational errors.

  • Escalate risks before they create larger problems.

Communication may take place through email, telephone calls, meetings, messaging platforms, reports, and approved operational systems.

2. Communicating with Workplace Stakeholders

Suppliers: Confirm order details, delivery dates, quantities, quality requirements, and pending issues.

Warehouse Teams: Communicate receiving schedules, stock discrepancies, picking priorities, dispatch requirements, and inventory updates.

Transporters: Confirm vehicle availability, pickup schedules, shipment status, estimated arrival times, and delivery confirmation.

Customers: Provide accurate order and delivery updates, listen to concerns, and explain the next steps clearly.

Supervisors: Report progress, highlight risks, request decisions when necessary, and escalate issues according to company procedures.

Communication should be factual, timely, respectful, and appropriate to the recipient.

3. Professional Email Writing

A professional email should be clear, concise, and easy to act upon.

A basic structure includes:

  1. Subject Line: Clearly states the purpose.

  2. Greeting: Uses an appropriate professional greeting.

  4. Key Details: Provides relevant facts, dates, order numbers, and shipment references.

  5. Required Action: States what is needed and by when.

  6. Closing: Ends politely.

Professional Introduction

A simple introduction may follow this sequence:

Name → Education → Relevant Skills → Internship or Project → Career Interest

Students should adapt the introduction to their own background and avoid claiming experience or skills they do not possess.

Practical Scenario: A Delayed Shipment

A customer repeatedly contacts the operations team because a shipment has not arrived as expected.

Students should explain how they would:

  1. Listen to the customer and acknowledge the concern.

  2. Check the shipment reference and latest tracking information.

  3. Contact the transporter or operations team if clarification is needed.

  4. Communicate only verified information.

  5. Inform the supervisor if the delay requires escalation.

  6. Record the interaction and agreed next steps.

  7. Follow up until the issue is resolved or appropriately handed over.

The objective is to demonstrate calm communication, accountability, accurate reporting, and customer focus.

Practical Learning Activity

Ask students to complete the following exercises:

  1. Draft a professional email requesting an update on a delayed supplier delivery.

  2. Prepare a short customer update using verified shipment information.

  3. Role-play a telephone conversation with a transporter.

  4. Explain how they would escalate an inventory discrepancy to a supervisor.

  5. Practise a 60-second professional self-introduction.

  6. Identify three behaviours that demonstrate accountability and teamwork.

Review the exercises for clarity, tone, factual accuracy, completeness, and professionalism.

Module Review

Students should be able to communicate effectively with workplace stakeholders, write professional operational emails, report delays, escalate issues, demonstrate workplace discipline, and use appropriate telephone and interview etiquette.

Key Takeaway: Professional communication combines clear information, respectful behaviour, accurate records, timely updates, and ownership of assigned responsibilities.
